Description:

Serve as the right hand to the founder of a US service, finance, or advisory firm.
Manage calendar, inbox, travel, and priorities to keep the founder organized and ahead.
Prepare for meetings, track action items, and follow up on tasks.
Communicate on behalf of the founder with clients, vendors, and team members.
Build and maintain workflows using Notion, Asana, Zapier, Google Workspace, and AI assistants.
Ensure CRM (HubSpot or similar) is clean and up to date.
Prepare documents, presentations, and reports, and conduct light research.
Identify and resolve bottlenecks proactively.

Requirements:

4+ years as an Executive Assistant or chief-of-staff-style assistant, with 2+ years supporting a US founder or executive.
C1 or better English proficiency, comfortable on live client calls.
Strong command of Google Workspace and at least one project management tool.
Hands-on experience with AI tools to enhance productivity.
Must demonstrate discretion, ownership, and quick response times during US hours.
Nice to have: experience in professional services, finance, or real estate; familiarity with HubSpot; knowledge of Zapier or Make.
Top candidates will have founder-level experience, self-built workflows, and a proven track record of running operations independently.

Competitive salary of $20,000–30,000 USD/year ($1,800–2,600/month) plus potential commission.
